Community Hall Rules

Conditions of hire for the Huntleys Cove Community Centre (Max Kingston Hall).

​

Note that only current occupants of Huntleys Cove are permitted to book.

Who can Rent the Centre

Residents and owners of a property in Huntleys Cove

2

Local not for profit organisations, considered on a case by case basis.

3

External commercial ventures, considered on a case by case basis

Use of the Community Centre

1

The centre can be used for birthdays, weddings, baby showers, wakes and other social events. The centre can accommodate a maximum of 80 people standing but has limited numbers of tables and chairs.

All functions for people aged 16 through to 21 must be supervised by an adult aged over 21

The function must not be openly or publicly advertised without prior, written consent of the Huntleys Cove Community Association (HCCA). This includes internet advertising, social media and forums.

The booking is for the use of the Community Centre, including kitchen and bathrooms,  only. It does not include the pool, tennis courts or gym

Any person using the centre for monetary gain must submit an insurance policy covering public liability to More Than Strata prior to booking.

Prohibited Uses of the Community Centre

HCCA reserves the right to decline any application for hire if it constitutes a prohibited use of the centre.

Prohibited uses of the centre include but are not limited to any unlawful activities, underage drinking, unauthorised sale of goods or unauthorised fundraising.

Prohibited also are any functions that would be deemed offensive or discriminatory to the community per the standards contained in the Anti-Discrimination Act 1977 (NSW)

Marquees and tents are not permitted on community property

No dogs or other animals are allowed inside the Community Centre, excepting guide dogs and service dogs

Booking and Period of Hire

To make a booking the hirer must:

(i) Download the booking online form from here

​

OR request More Than Strata to email the form

​

OR request the form from their strata’s Community Association Representative

 

(ii) Fill in the booking form and get any member of your Strata Committee or your CA Representative to sign it.

(iii) agree to all the terms and conditions in this conditions of hire document by signing the agreement below

 

Both completed documents must be scanned or photographed and submitted to More than Strata

A booking is confirmed only when the hirer has submitted the required documents, and paid the hire fee and security bond and when a confirmation email has be sent by More Than Strata

HCCA can refuse or cancel any reservation and refund the fees and charges paid without providing a reason.

The application process must show the times of the actual function. Set up needs to be completed within the booking period.

Refundable Deposit

The hirer must pay a security deposit at the time of booking, which will be refunded within ten working days after the event if the Community Centre is left undamaged and clean. The Community Association’s cleaner is responsible for inspecting the hall.

​

If there is damage or failure to comply with the conditions of hire, the bond may be partially or fully forfeited.​

Fees for Resident or Not for Profit

$200 + deposit

Day booking - until 4pm

$200 + deposit

Night Booking - 4pm - 11pm

$50/hour + deposit

Hourly booking - Less than 4 hours until 4pm

Fees for Approved Commercial Use

$50/hour + deposit

Regular commercial bookings

Regular bookings must be booked and paid for in advance, in minimum of 10 week bundles.

The $200 deposit is paid once and can be rolled over.

Residents are encouraged to book online rather than by phone.

Phone booking

​

The extra fee for phone bookings is required to cover the charges MTS makes for handling phone bookings on the CA’s behalf.

Community Strata Committee Meetings

$0

No fee or deposit required for community strata committee meetings and events

Restrictions

Smoking is not allowed anywhere in or around the Community Centre (Smoke-Free Environment Act 2000).

No vehicles, including motorcycles and trailers, are allowed on pathways or grass areas in Huntleys Cove.

Hirer’s Responsibilities During Hire Period

1

The hirer must be present during the event and ensure the safety of guests, prevent damage, ensure all attendees are aware of the location of emergency exits, maintain appropriate noise levels, and leave the venue clean and tidy.

The hirer is responsible for returning all equipment to its storage space, turning off lights and air-conditioning, locking all doors when leaving, keeping emergency exits clear, and contact their strata’s Community Association representative in case of any issues. The hirer is responsible for any damage that occurs and must report this to their strata’s Community Association representative.

Alcohol

Alcohol cannot be sold on the premises

Noise Control

1

Huntleys Cove is a residential area. The hirer must ensure that music, motor vehicles, motorcycles and crowd noise levels do not disturb neighbours.

Music must not be amplified outdoors

The front doors should be closed

4

All children must be supervised by responsible adults

Cleaning

1

The hirer must leave the community centre clean and tidy

2

The community centre should be left in a clean and tidy condition.

  • Empty bins and take all rubbish AWAY.

  • Clean the kitchen, oven and microwave.

  • Empty and clean the fridge.

  • Sweep and mop the floor if any food or drink spills.

  • Put away all chairs and tables.

  • Return remote to the labeled cupboard in the kitchen.

HCCA is not liable for any damage or injury that occurs during community events, private functions, or activities on community property.

Participants and attendees assume all risks and liabilities whilst participating or attending events.

By participating or attending any event, participants and attendees agree to release HCCA from liability to the fullest extent allowed by law.
